An AI assistant for business can help with writing, research or a recurring workflow. The buying decision starts with the job you need done: do you need software your team can configure, or help designing and maintaining the process around it?

Start with one job, not a ranking
Write down the trigger, the expected outcome and the person responsible. For example: a website inquiry arrives, the customer receives a useful reply, and a team member owns the next step. That is specific enough to evaluate. “Use AI to grow the business” is not.
For drafting proposals, you may only need an assistant and a review process. For moving an inquiry through a CRM and calendar, you also need connections, routing rules and a way to handle failures. Both packaged products and custom implementations can support connected workflows; capability depends on the product, plan and configuration.

When implementation help is worth considering
Consider setup help when the work crosses several tools, no one on your team owns configuration, or the process needs clear exceptions and staff handoffs. Ask a provider to explain what the software already does and what their work adds.
A useful proposal names the first workflow, supported integrations, testing steps, staff responsibilities and ongoing support. It should also explain what happens when a tool changes or a connection fails. Custom work does not guarantee that every app can be connected or every step can run without review.

Compare the full cost
Include software subscriptions, usage charges, setup work, staff review time and maintenance. Avoid comparing a software subscription alone with a complete service package as though they provide the same work.
Ask each option the same questions:
- Can it complete the specific task with our current tools?
- Which actions need staff approval?
- Who handles missed steps and connection failures?
- What costs change as usage grows?
- Can we export our records and understand the workflow if we change providers?
Measure a small pilot
Choose a short, defined evaluation period and record the starting workload. Compare time spent completing the task, time spent reviewing or fixing output, and the number of requests that reach the intended outcome.
For lead follow-up, distinguish an automatic acknowledgement from a useful reply, a booking-link click from a confirmed appointment, and an appointment from a sale. Count staff effort as part of the cost. Expand only when the evidence supports it.
